Privacy and personal information

Data protection
policy.

How 7th Boston Swineshead Scout Group collects, uses, protects and retains personal information about young people, parents, volunteers and website users.

7th Boston Swineshead Scout Group

Protecting information is part of keeping people safe.

7th Boston Swineshead Scout Group is responsible for much of the personal data it processes locally. We follow UK data-protection law and the data-protection framework used across Scouts.

Information we collect

This may include names, contact details, dates of birth, section membership, attendance, emergency contacts, account information and communications with the group.

Health and consent information

To support safe activities we may process medical, dietary, accessibility, medication and event-consent information. Access is limited to people who need it for a legitimate Scouting purpose.

Why we use information

We use personal data to manage membership, communicate with families, run safe activities, administer bookings and payments, respond to enquiries, support volunteers and meet legal duties.

Our lawful bases

Depending on the purpose, processing may rely on consent, legitimate interests, performance of an agreement, legal obligations or protection of someone’s vital interests.

Who information may be shared with

Information may be shared within authorised local Scouting teams, with The Scout Association, event providers, payment providers or authorities where necessary, proportionate and lawful.

Service providers

Website hosting, WordPress, WooCommerce, email and payment services may process limited information on our behalf or as separate controllers under their own privacy terms.

How long we keep information

Records are kept only for as long as needed for their Scouting, safeguarding, financial, insurance or legal purpose, then securely deleted or anonymised where appropriate. In practice, event consent forms and the health information they contain are kept for three years after the event, then reviewed by a leader and deleted. Waiting list entries are removed once the event has passed. Membership records are kept while a young person or volunteer is connected with the group. Financial records, including payments for events and subscriptions, are kept for six years to meet HMRC and charity accounting requirements. If you ask us to remove a young person or a parent account we do so promptly; a consent form already completed is separated from the account and kept for the period above.

Security and access

We use role-based access, protected account areas and appropriate technical and organisational measures. Users must keep passwords secure and report suspected unauthorised access promptly.

Your rights

You may ask to access, correct, restrict or erase personal data, object to some processing or withdraw consent where consent is the lawful basis. Some rights may be limited by legal or safeguarding duties.

Email updates

If you sign up for our newsletter, your name and email address are held by our email provider and used only for group updates. Signing up is optional, every email carries an unsubscribe link, and you can ask us to remove you at any time.
